Job Summary:

We are seeking a highly skilled, detail-driven, and experienced Project Manager to join our team. The ideal candidate is a proactive problem-solver, organized self-starter, and strong communicator with 6–8 years of agency experience. In a fast-paced environment like ours, we need a high-caliber PM who can balance structure with agility—keeping teams aligned, projects on track, and clients confident in both the process and the results. 

As a Project Manager at BlueByrd, you will be the agency’s advocate in ensuring the seamless execution of marketing campaigns across multiple platforms. You’ll manage internal teams and freelancers, create thorough project briefs with the Strategic Growth Managers (SGM), develop estimates with SMEs, and monitor project budgets daily. You’ll lead and coordinate internal and client meetings, document and distribute notes, and maintain project details across our project management software, shared drives, and client files. Success in this role requires discernment, tenacity, and ownership to thoughtfully build out project plans, set both the team and client up for success, uphold tactical excellence, and deliver high-quality projects on time and on budget.

Key Responsibilities:

  • Agency Advocacy: Serve as the agency’s internal champion by aligning project execution with BlueByrd’s standards, ensuring teams uphold quality, efficiency, and client trust in every deliverable.
  • Team Management: Guide and support internal team members by setting priorities, assigning tasks, and keeping everyone aligned to ensure smooth collaboration and accountability.
  • Project Execution: Manage projects with a sharp focus on tactical quality, ensuring all work is delivered on time, within budget, and to the highest standard.
  • Budget & Schedule Oversight: Develop and manage detailed project plans, timelines, and budgets while monitoring them daily—making proactive adjustments to schedules and resources to keep priorities aligned and deliverables on track.
  • Invoice Accuracy: Generate client invoices and confirm accuracy against project budgets and scopes before they are finalized.
  • Meeting Leadership: Lead and coordinate all internal and client-facing meetings, ensuring agendas are clear, discussions are productive, and outcomes move projects forward.
  • Project Brief Development: Create detailed project briefs that set a clear direction for the team and align with client objectives.
  • Freelancer & Vendor Management: Oversee external resources by defining scope, managing budgets, and ensuring their work integrates seamlessly with internal deliverables.
  • Estimating Support: Build accurate project estimates that reflect scope, timing, and budget.
  • Budget Monitoring: Review budgets weekly, proactively identifying variances and flagging them to avoid overruns.
  • Risk Awareness: Anticipate and identify potential project challenges early, offering solutions to mitigate them and keep work on track.
  • Meeting Documentation: Capture detailed notes in every meeting and distribute them promptly, ensuring alignment, accountability, and clarity for all stakeholders.
  • File & Workflow Management: Maintain accurate working files, project details, and progress in shared drives and the project management tool, ensuring information is always accessible and up to date.
  • Status Reporting: Manage and circulate client-facing status documents that are fully aligned with the project management tool, keeping clients informed and confident in project progress.

Requirements:

  • Education & Experience: Hold a bachelor’s degree in Marketing, Communications, Business, or a related field and 7-10 years of project management experience in an agency setting.
  • Organizational Excellence: Demonstrate outstanding organizational skills with the ability to manage multiple clients and projects at once, while maintaining quality and focus on the details that matter.
  • Project Management Tools: Leverage strong working knowledge of platforms like Asana to keep projects structured, transparent, and moving efficiently across teams.
  • Communication Skills: Bring exceptional written and verbal communication skills to clearly convey ideas, provide feedback, and keep both internal teams and clients aligned.
  • Curiosity & Growth Mindset: Show an unyielding curiosity about marketing trends, tools, and strategies—always looking for ways to improve processes, efficiency and deliver smarter solutions.
  • Problem-Solving & Attention to Detail: Apply strong problem-solving abilities and meticulous attention to detail to foresee issues, address them quickly, and ensure deliverables meet high standards.
  • Bias to Action: Take initiative and move work forward without waiting to be asked, maintaining momentum and ensuring projects never stall.
  • Social Media Campaign Management: Bring experience in managing and overseeing social media campaigns, ensuring they align with client goals and are executed effectively.
  • Ad Campaigns & Email Marketing Management: Bring proven experience in planning, executing, and tracking digital advertising and email marketing campaigns—managing timelines, coordinating creative assets, and ensuring campaigns meet client goals and performance benchmarks.
  • Events & Tradeshow Management: Demonstrate hands-on experience coordinating the logistics, marketing and execution of events and tradeshows, managing deliverables such as booth design, collateral, and schedules to deliver high-impact client experiences.
  • Presentation Skills: Develop and deliver clear, engaging, and informative presentations that inspire confidence and communicate complex ideas simply.
